How to register

  • All registrations must be made through the Online Registration Portal.
  • First, create an account. After that, sign in to finish your registration.
  • When registering for someone else, create an account with your details and enter the delegate’s information (with their consent).
  • We recommend using a personal email address to avoid communication issues.
  • Group reservations (5 or more persons) can be arranged by contacting [email protected]
  • Additional items (e.g., social events) can be added during the initial registration process or later to an existing registration via Manage Registration → Edit Registration button. Any changes will be subject to a fee of 20EUR.
  • A confirmation email with your registration number will be sent after submission. Should you not receive the confirmation letter please check your spam/junk folders.

Unpaid or partially paid registrations will not be considered valid until paid in full.
All fees must be paid in EUR, free of any credit card charges.

    Payment Methods

    Registration fees are collected on behalf of SI CONVENTION by the Organizer, CZECH-IN s.r.o., 5. května 65, CZ-14021 Prague 4, Czech Republic.

    All fees will be charged in EUR.

    To be eligible to attend social events, all participants are kindly asked to reconfirm or pre-register during the registration process or reconfirm/add via the Online Services Portal.

    Online Payment by Credit/Debit Card

    The preferred method of payment is payment by card online via our secure payment gateway:

    If your card payment is declined, please try again through the registration form or contact your card issuer.

    Bank Transfer

    Please ensure that the registered participant’s name and registration number are clearly stated in the bank transfer. Payments received without such details (name, registration number) cannot be easily identified and may not be valid.
    Payment by bank transfer is available until 8 September 2027. After this date, all payments can only be made by credit/debit card.

    Invoice

    An advance (proforma) invoice/Call for payment is issued only upon email request.
    The final invoice can be downloaded from the Online portal. The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details)
    Any change of such details (name, address, VAT number, etc.) is possible and is subject to a 20 EUR administrative fee.

    Cancellation/Refund Policy

    • Cancellations received by midnight CET, 31 March 2027
      are eligible for a 100% refund, less a 150 cancellation fee.
    • Cancellations received on or after 01 April 2027 are non-refundable. Participants are strongly advised to take out appropriate travel and/or cancellation insurance to cover unforeseen circumstances.
    • Changes to the registration type are subject to an
      administration fee of 20 EUR

    Please note that if you change the name/contact of the registered participant at any time after you have registered, this change will be subject to an administrative fee of 20 EUR.

    Others

    Visa

    Request for a VISA invitation letter is only available for fully paid or free registration. Delegates can download their Invitation letter from their account on the Online Portal.

    If you are applying for a visa to attend the conference, please follow the instructions outlined in this document issued by the Ministry of Foreign Affairs of the Czech Republic. It provides detailed information on visa requirements and the application process for conference participants.

    Certificate of Attendance

    The Certificate of Attendance will be available for download in the Online Portal after the Conference for all participating delegates.

    Photographs

    Any images or visual recordings of participants taken during the event may be used by SI (Soroptimist International) Limited (SI) and its appointed professional conference organiser (C-IN, Prague, Czech Republic) for documentation of the event, promotion of future events or for any other SI business purpose, without any claim of the participants to any remuneration.

    A participant may withdraw his or her consent to the use of the image at any time for reasonable cause by contacting the SI CONVENTION Secretariat at [email protected]. By participating in the event, the participant acknowledges that visual recordings may be made for the above purposes.

    Insurance

    The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.

    Cancellation or Modification of the Soroptimist International Convention 2027 Due to Force Majeure

    In the event of a force majeure situation, CZECH-IN s.r.o. reserves the right to alter or cancel the meeting without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the time. Force majeure includes any circumstance beyond the reasonable control of CZECH-IN s.r.o., which prevents or impedes the realization of the meeting. This includes but is not limited to government action, war or hostilities, riot or civil commotion, plague, or other epidemic such as SARS, Covid-19, bird flu, earthquake, flood, hurricane, cyclone, fire, or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation, or terrorism. CZECH-IN s.r.o. shall not be liable for any direct or indirect, incidental, consequential, punitive, or exemplary damages, losses, expenditures, or any other inconveniences or costs caused by such modification or cancellation of the meeting. Unless provided otherwise by the applicable mandatory laws, the registration fees will be reimbursed by the Soroptimist International Convention 2027 cancellation policy.

    Data Privacy and Security

    We take your privacy very seriously, and to comply with the European General Data Protection Regulation (GDPR) and other data protection consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating an account in our system.
